Welcome | Terms and Conditions of Volunteer Service (Last Updated: 4/21 /2024)
Please read the following Terms and Conditions of Service carefully before submitting your volunteer application. By submitting your application or otherwise accepting a volunteer position or participating in volunteer services with Cay Galgon Life House (“CGLH”), you confirm your acceptance of, and agree to be bound by the following Terms and Conditions of Service as well as all applicable Cay Galgon Life House policies, procedures, rules, and regulations.
I. VOLUNTEERING
You acknowledge and agree that you are volunteering your time to Cay Galgon Life House and are not an employee of Cay Galgon Life House, do not have an expectation of future employment with Cay Galgon Life House, and are not eligible for health insurance, life insurance, retirement, or any other benefits. You also agree that you have not been promised and do not expect any compensation or anything of value in exchange for volunteering.
You further agree to follow the supervision and direction of any Cay Galgon Life House staff member, or volunteer, to whom you have been assigned to perform volunteer services, and to participate in any training required by Cay Galgon Life House to perform the voluntary services.
II. ESTABLISHING APPROPRIATE BOUNDARIES
How to Form and Maintain Relationships with CGLH Clients
Each volunteer enters their CGLH service with individual and unique goals. Understanding yourself and your goals will help you to separate your needs and values from those of our
clients. This self-awareness can be extraordinarily complex and will be ongoing during your tenure as a volunteer. Orientation programs and training discussions cannot fully prepare you for the wide range of experiences which you will share with our clients.
Volunteer interactions should be directed toward supporting existing resources. This can be achieved only by following the directions of a CGLH staff member who will help you develop well-defined boundaries in your relationships with both residents and outreach clients. Over involvement occurs when volunteers give more of themselves than is essential to the delivery of their support. At all times, volunteers must remember that they are not CGLH staff and that they should limit their interactions to duties defined in their volunteer position description.
As a guide and not as an exhaustive list, the following behaviors are not permitted and could be grounds for dismissal from the volunteer program:
o Visiting clients during times other than your designated volunteer shift
o Socializing with clients outside the program setting
o Visiting or continuing to support clients after leaving the CGLH program for a minimum of 2 years.
o Buying personal gifts for clients without prior consent from authorized staff
o “Compete” with staff members or other volunteers for the affection of clients
o Withholding information from staff members about the concerns of clients
o Exchanging home address, email address, phone numbers, and other personal information with clients
Similarly, for clarity regarding social media sites (including Facebook, Twitter, Instagram, Snapchat, TikTok, etc.), volunteers shall refrain from sharing or otherwise posting any information whatsoever regarding CGLH clients and their families on any social media sites. Being a social media "friend" with clients and/or their families opens the door to boundary violations. Inappropriate personal relationships can be misconstrued and may jeopardize our ability to provide help. Communication with clients via social media sites is grounds for termination of their involvement with Cay Galgon Life House and removal from the volunteer program. The foregoing restrictions do not apply to sharing or linking media content that originated from Cay Galgon Life House’s social media sites.
Volunteering at Cay Galgon Life House is emotionally complex and requires the ability to separate ones' own needs from those of our clients. Volunteers must learn to establish caring relationships while maintaining clear boundaries - to be friendly without being a friend. The CGLH staff encourages you to share with them your questions and concerns about these matters.
III. CONFIDENTIALITY POLICY FOR VOLUNTEERS
The programs at Cay Galgon Life House strive to empower young women to openly address sensitive life situations that may have let brought them to seek our services. Strict confidentiality ensures a secure and supportive environment, which promotes the positive support necessary to begin the process of healing. Any breach of confidentiality by Cay Galgon Live House volunteers is strictly prohibited.
To ensure the privacy of Cay Galgon Life House clients and encourage healthy communication by everyone involved in the programs, please adhere to the following:
o Confidential Information means any confidential and/or proprietary information relating to CGLH’s operations and programs, regardless of form, including but not limited to, client names, addresses, events, histories, medical information, behavior logs, client records and charts, and any other information obtained in client discussions and/or counseling sessions.
o Without CGLH’s prior written consent, volunteers shall not (a) disclose any Confidential Information to any third party; (b) make or permit to be made copies or other reproductions of Confidential Information; or (c) make any commercial use of Confidential Information.
o Upon CGLH’s request, volunteers shall immediately return all original materials provided by CGLH and any copies, notes or other documents in volunteers’ possession pertaining to Confidential Information.
o Any volunteer found to have violated this policy would be asked to terminate their involvement with Cay Galgon Life House.
IV. HARASSMENT POLICY
Cay Galgon Life House intends to provide an environment that is free from intimidation, hostility or other offenses that might interfere with individual performance. Unlawful harassment of any sort - verbal, physical and visual - will not be tolerated.
Harassment can take many forms. It may be, but is not limited to words, signs, jokes, pranks, intimidation, physical contact, or violence. Harassment is not necessarily sexual in nature.
Sexually harassing conduct may include unwelcomed sexual advances, requests for sexual favors, or any other verbal or physical contact of a sexual nature that prevents an individual from effectively performing the duties of their position or creates an intimidating, hostile or offensive working environment, or when such conduct is made a condition of employment or compensation, either implicitly or explicitly.
All Cay Galgon Life House staff members, and particularly management, have a responsibility of keeping the Cay Galgon Life House environment free of harassment. Any volunteer, who becomes aware of an incident of harassment, whether by witnessing the incident or being told of it, must report it to the Executive Director or other management member. When CGLH becomes aware that harassment may exist, it is obligated by law to prompt and appropriate action, whether or not the victim wants administration to do so.
REPORTING PROCESS:
1. Any incidents of harassment must be immediately reported to the Executive Director.
2. Appropriate investigation and disciplinary action will be taken.
3. All reports will be promptly investigated with due regard for the privacy of everyone involved.
4. Any volunteer found to have harassed a staff member, client, or another volunteer would be subject to termination of such volunteer’s involvement with Cay Galgon Life House.
5. Cay Galgon Life House will also take any additional action necessary to appropriately remedy the situation.
6. If upon investigation, the claim itself was made in bad faith or for purpose of harassment, the staff member, volunteer, or client making such a claim will be subject to the disciplinary process.
V. NOTICE REGARDING CAY GALGON LIFE HOUSE SURVEILLANCE VIDEO CAMERAS
To ensure the personal safety of our clients, staff members, and volunteers and deter theft, Cay Galgon Life House has installed surveillance video cameras inside and outside of its building located at 714 West Broad Street, Bethlehem, PA. No such cameras have been placed in areas of the building that are private living spaces or rest room facilities. The cameras are used for the limited purpose of filming issues that may occur causing harm to the person or property of any client, staff member, or volunteer, or the property of Cay Galgon Life House. There is no sound recording. The cameras will normally operate 24 hours a day, 7 days a week.
The video from the cameras will be the property of Cay Galgon Life House. The video may be accessed only by the Executive Director or another authorized person(s) and will be viewed only if an incident is alleged to have occurred. The video from the camera may be made available to law enforcement and as otherwise required by law, subpoena, or other court order. The video will be stored “on the cloud” for a limited period.
VI. STORY AND IMAGE RELEASE
I hereby sell, assign and grant to Cay Galgon Life House all right, title and interest to and permission to copyright, use, publish and republish my name, voice, story, picture and likeness (collectively, “Likeness”) in any and all media or distribution now known or hereafter developed taken or recorded during my involvement with Cay Galgon Life House including but not limited to electronic, digital or conventional, blurred, altered or distorted, in color or black and white, video or otherwise for art, trade, internal distribution or any other lawful purpose in any lawful manner anywhere in the world and/or on the worldwide web. I hereby waive any right to inspect or approve any final product using my Likeness. I hereby release and discharge Cay Galgon Life House from any and all actions, claims and demands of any nature which I may have at any time now or in the future arising out of or related to the rights granted above or my Likeness.
As a volunteer, I release and hold harmless Cay Galgon Life House and their successors from any and all claims, costs, suits, actions, judgments or expenses upon any damage, loss or injury to me or to my property which may arise from this volunteer event.
